That choice is rarely about the rate per hour. It is about what stays attached to your business when the workload drops for a while.
- Employing someone. You get a person who learns the business from the inside, but you also take on employer contributions, holiday, a notice period, equipment and the duty to have enough work every single month.
- Hiring in. You get one invoice a month, you buy only the hours you need and you scale up or down when the season turns.
A permanent hire pays off when the workload is steady and you want the knowledge to stay in house. Hiring in works better when the volume swings, when the tasks are easy to draw a line around, or when you want to see whether the working relationship clicks first. Which agreements and rules apply when your assistant sits in another EU country?
When your assistant sits in a different EU country than you do, the arrangement works fine in practice, but there are a few things worth knowing before you sign.
Tax deduction, skatteavdrag. If your Swedish company buys work from a foreign company that is not godkänt för F-skatt, you as the client must make a skatteavdrag on the payment for work in Sweden. If the company is godkänt för F-skatt, you do not. The nuance matters: the rule covers arbete som fysiskt utförs i Sverige, meaning work physically carried out in Sweden. VAT. When you buy services from another EU country, you as the buyer calculate and report the Swedish VAT yourself in your momsdeklaration, under the main rule of omvänd betalningsskyldighet, the reverse charge. If the purchase serves your momspliktiga verksamhet, your VAT liable activities, you deduct the same amount again. Then there are the agreements themselves. Three documents will carry you a long way:
- A written agreement. Which tasks are covered, how many hours a month, the working and response times, and how invoicing runs.
- A data processing agreement, called a personuppgiftsbiträdesavtal in Swedish. You need one as soon as your assistant touches personal data, in the inbox, the customer records or the bookkeeping. That follows from the GDPR.
